Research the right company and event edition

Start with the business question you need a meeting to resolve: game content integration, payment-partner scope, affiliate distribution or another defined requirement. Use the organiser’s current programme and exhibitor information to research relevant companies. Check the exact event edition rather than assuming that a familiar brand name describes the same audience, venue or participants every year.

A search for SiGMA Rome exhibitors, ICE suppliers, iGB networking or SBC affiliates can be a useful starting point. It does not confirm that a particular person is attending or that a meeting is available. ExpoHub provides independent research and preparation routes; organisers remain responsible for their programmes, registration and entry arrangements.

Write a meeting request a partner can answer

Introduce your role, company, market and project stage in a few lines. Explain why the recipient’s organisation appears relevant and name two questions you hope to discuss. Ask whether an event meeting or a later call would be more useful. Confirm the recipient’s preferred time zone and actual availability before sending a calendar commitment.

A brief Diwali or Deepavali greeting can be appropriate when it fits the relationship. Keep the greeting separate from the business request and allow for different holiday schedules. Do not imply that a seasonal message creates an obligation to respond, confirms a partnership or establishes permission for ongoing promotional messages.

  • Company, role, target market and project stage
  • Specific reason this organisation is relevant
  • Two questions and the desired next decision
  • Confirmed time, participant and contact route

Make the follow-up specific and proportionate

After a conversation, record what was actually agreed, the material promised and who owns the next step. Send the relevant document or answer through the channel the participant accepted. A source link, integration checklist or short written scope is more useful than an unrelated seasonal promotion.

Keep a new contact, a confirmed meeting and an active opportunity in different states. Review whether the recipient has a matching need, decision role and timing before treating the conversation as qualified demand. HUIDU’s resource links can support research and introductions, while attendance, admission, delivery and commercial outcomes require their own confirmation.

PUT IT TO WORK

Your working checklist

  • Research the exact event edition
  • Give each meeting a specific purpose
  • Confirm availability and respect the preferred channel
  • Record agreed follow-up separately from opportunity status
